B2B appointment setting by email
An appointment setting agency for calls worth showing up to
We set sales appointments by email and make no phone calls. Before we start, we agree what a qualified appointment is, and that is the only kind we count.
The short answer
What does an appointment setter do?
An appointment setter contacts possible buyers, finds out who is interested and books a sales call. The selling stays with you. An appointment setting company runs this for you, so your salespeople spend their day in conversations.
A qualified appointment needs someone with the authority to say yes, at a company that fits, and that person has to turn up. A no-show costs you the slot and the preparation. An unqualified call costs more, because your best seller spends a full meeting finding out there was never a sale.
That is why the definition has to be agreed upfront, with job titles, company type and region written down before the first message goes out. Where we differ from most appointment setting services is the channel. We work by email only, so if your buyers respond better to a phone, a phone-based team is the better choice.
The problem
Where a full calendar can still cost you
The usual way
- Calls get booked with whoever was easiest to reach, rarely the person who signs.
- A scripted pitch wins a quick yes from people who wanted to hang up, and they do not turn up.
- Outreach runs at full speed from day one under your name, and one pushy week can sour a market.
- Nobody passes on what the prospect said, so you start the call with no idea why they agreed.
With Ace
This is cold email, done one person at a time. No mass blast, no single template for your whole list.
- We build your list of real buyers
- We write to each person, one by one
- We warm up every inbox first
- A real person reads every reply
Step by step
How it works
- 01
We build your list of real buyers
We start with companies and people who actually match what you sell. Every email address gets verified before we ever write to them.
- 02
We write to each person, one by one
Every email opens with something true about that one company. When there's nothing real to say, we skip it.
- 03
We warm up every inbox first
New mailboxes spend weeks warming up before they send anything to a prospect, and we only raise the volume while bounces and complaints stay low.
- 04
A real person reads every reply
When someone replies with interest, we flag it and get the meeting on your calendar. Nothing here runs on autopilot, and when a lead asks us to stop writing, that's the last email they ever get from us.
Your options
Phone setters and pay per appointment compared with email
A good phone setter gets faster answers, and in some markets the phone is still the better channel.
| Question | Phone setters or pay per appointment | With Ace |
|---|---|---|
| Channel | Phone setters or pay per appointmentPhone calls, often from a script | With AceEmail only |
| What you pay for | Phone setters or pay per appointmentEach appointment, so check what counts as one | With AceA setup fee and a monthly fee |
| Who decides what is qualified | Phone setters or pay per appointmentOften the setter, or the small print | With AceYou and us together, before anything is sent |
| No-shows | Phone setters or pay per appointmentDepends on the contract, so check if a booked or an attended call counts | With AceA no-show does not count toward the guarantee |

Example
A first email that asks for an appointment
Subject: your new Ohio territory
Hi Elena, saw Corvane Dental Supply just added a field rep for Ohio, and the job post says the territory starts from scratch.
A new rep with an empty calendar can spend months chasing. We could set first appointments by email with practice owners there, and count only the ones who turn up.
Should I send over how we would define a qualified appointment for your rep?

Do you make phone calls?
No. Everything happens by email, from the first message to the booked time.
What happens if someone does not show up?
That call does not count toward our guarantee. We only count meetings the person attends, so a no-show is our problem as well as yours.
Do you offer pay per appointment?
The price on this page is a setup fee and a monthly fee, backed by the guarantee. Pay per appointment only works when both sides agree what counts, so if you prefer that model, raise it on the call and we will tell you if it could work.
Is outsourced appointment setting worth it if I already have salespeople?
It can be. If your reps lose hours to prospecting, outsourced appointment setting hands them conversations and leaves the selling with them. If they already have more calls than they can take, it will not help.
